Knowbull privacy policy
Knowbull is currently an operating brand, not yet an incorporated company. This policy describes how the Knowbull product handles personal information today; it will be updated with formal company details once the entity is incorporated.
This Privacy Policy explains how Knowbull ("Knowbull", "we", "our" or "us") collects, uses and shares information when you use our website and referral platform (the "Services"). By using the Services you acknowledge that you have read this policy. We may update it from time to time and will change the date at the top when we do; continuing to use the Services after a change means you accept the updated policy.
Information we collect
Referrer account details
When you sign up as a referrer, we collect the information you provide to create and operate your account — typically your name, email address, and the bank or payout details you connect through Stripe so we can pay you referral fees.
Candidate details submitted through a referral
When a referrer recommends someone, or when a candidate completes their details via a secure referral link, we collect information about that candidate. This may include their name, email address and phone number, and — optionally — a LinkedIn profile, CV, and any notes provided to support the recommendation. This information is only shared with the relevant employer after that employer has agreed to the referral terms.
Payment information
Payments are processed by Stripe. When an employer pays a referral fee, or when we pay a referrer, the transaction is handled by Stripe and is subject to Stripe's own privacy terms. We receive limited information about payouts and transactions from Stripe, but we do not store full card numbers on our systems.
Usage and analytics information
When you use our website we collect basic technical and usage information, such as your browser type, pages viewed and general activity. We use PostHog for product analytics to understand how the Services are used and to improve them. This may involve cookies or similar technologies; most browsers let you remove or reject cookies, though doing so may affect how the site works.
How we use information
We use the information we collect to:
- Provide, maintain and improve the Services.
- Facilitate referrals — sharing a candidate's details with the relevant employer once the referral terms have been agreed.
- Process payments and pay out referral fees through Stripe.
- Send transactional and service messages relating to your account and your referrals (for example, status updates, invitations, and payment confirmations).
- Respond to questions and provide support.
- Analyse usage so we can understand and improve the product.
- Detect and prevent fraud, and comply with applicable law.
How we share information
We share information only as needed to run the Services:
- With the employer in a referral — a candidate's details are shared with the employer after the employer has agreed to the referral terms.
- With service providers who help us operate, such as Stripe (payments) and PostHog (analytics).
- Where required by law, or to protect the rights, property or safety of Knowbull, our users or others.
- With your consent or at your direction.
We do not sell your personal information, and we do not scrape or sell contact data.
Security and retention
We take reasonable measures to protect information from loss, misuse and unauthorized access, but no system can be guaranteed completely secure. We keep personal information for as long as needed to provide the Services and to meet our legal, accounting and fraud-prevention obligations.
Your choices
You can update your account details from within the product. Transactional and service emails are part of operating a referral and your account, so we do not offer a blanket unsubscribe from those; if you want to close your account or ask us to delete information, contact us and we will help, subject to any records we are required to keep. Most browsers also let you manage or reject cookies used for analytics.
